General Purpose Compiles data, tracks, summarizes, and reports
results, and Maintains property management database. Compiles,
organizes, and summarizes data from multiple sources;
monitors/tracks processes to ensure their execution within defined
parameters. Responsibilities--- Provide support through the
preparation of reports, letters, and spreadsheets.
--- Ensure activities are performed in accordance with contractual,
corporate, and regulatory requirements.
--- Track documents including contracts, payments, and invoices,
using standardized processes where applicable.
--- Communicate with staff regarding procurement/accounting
information.
--- Populate the department's database (REFX, an SAP module) with
information from lease contracts, including term of contract,
payments and critical dates.
--- Prepare weekly, monthly and ad-hoc reports from the
database.
--- Prepare purchase orders and requisitions, coordinating with
property agents and the procurement department.
--- Prepare check requests and wire transfers at the direction of
property agents.
--- Process invoices
--- Work with accounts receivable to ensure payments are posted
correctly.
--- Review aging reports for issues and resolve them independently
or with support from property agents. Requirements--- High School
Diploma or equivalent; or the equivalent combination of education
and experience.
--- A minimum of three years' work experience.
--- Familiarity with databases.
--- Ability to accurately document contract terms.
--- Detailed oriented and accurate.
--- Excellent communication and interpersonal skills including the
ability to resolve internal or external customer issues which may
be sensitive in nature.
--- Proficient with the use of personal computers including
spreadsheet, database, word processing and presentation
applications to compile, maintain, and present information.
--- Ability to demonstrate strong time management, prioritizing and
organizational skills.Preferences--- Bachelor's Degree in Business
Administration or a related field
--- Experience in SAP.
--- Demonstrated understanding of standard commercial leases (term
dates and rent)
