Job Description:
OHSU's Center for Ethics in Health Care was founded in 1989 with
a clear and compelling purpose: to bring justice, compassion, and
respect to every aspect of health care in our community. The scope
of the Center's work has expanded far beyond the early dreams of
its founders, to include:
- Innovative education programs for current and future
generations of health care professionals throughout the state.
- A leading national role in transforming care at the end of
life, through the development of the ground-breaking Portable
Orders for Life-Sustaining Treatment (POLST) program which is now
available in most states nationwide as well as several other
countries.
- Policy changes to address pressing issues such as conflict of
interest and access to health care.
- Research to support important health care reform.General Office
Management
- Schedules appointments for faculty and maintains Center's
calendar.
- Coordinating meetings and special conferences including
securing room reservations, distributing agenda, taking meeting
minutes, setting up WebEx, etc.
- Maintains files of correspondence, reports, instructions,
guidelines, and similar materials on the X-drive, in the office and
storage.
- Initiates, process phone calls, fax, and takes messages as
requested.
- Receive, respond to, and distribute all incoming mail as
appropriate.
- Order, refill and maintain inventory of supplies.
- Support leadership in the recruitment and hiring process:
assist with scheduling interviews and coordinating the hiring
process.
- Answer multi-line phone lines, monitor inboxes using
exceptional communications skills. Communicates in a manner which
conveys a level of calm, empathy, and professionalism.
- Prepare packets and materials for Center events, conferences
and meetings including marketing material and surveys.
- Provides cross coverage for programs when needed.POLST Program
Daily Operations:
- Manages POLST files, records and documents.
- Fulfill POLST form and material orders.Meetings:
- Schedules and coordinates meetings for the Coalition and for
the POLST Medical Director.
- Distributes agenda and supporting material.
- Takes meeting minutes for Coalition meetings.
- Secure room reservation and/or setup WebEx.Program
Administration:
- Coordinates the work of the Oregon POLST Coalition and its four
subcommittees (Education, Technology, Quality Improvement and
Community Insight).
- Prepare POLST educational material for events.
- Orders and maintains inventory of POLST material.
- Prepares reports and presentations using multiple software
(excel, PowerPoint, etc.) to present data related to the POLST
program.
- Provides POLST Medical Director with support towards QI
initiatives.
- Enrolled in or on vacation from or is otherwise registered in
(check one)
- High School, OR
- Undergraduate Program (minimum 6 credit hours), OR
- Graduate Program (minimum 4.5 credit hours)
- Minimum of one (1) year of general office or secretarial
experience.
- Experience providing high-level customer service in a
high-demand environment.
- Proven attention to detail in data entry and processing.
- Strong computer skills including proficiency in Microsoft
office products.
- Ability to learn and work with various digital platforms and
tools.
- Ability to work with a wide range of health care professionals,
individuals, families, and groups.
- Ability to maintain confidentiality.
- Minimum of two (2) years of general office or secretarial
experience.
- Experience providing high-level customer service in a
high-demand environment.
- Proven attention to detail in data entry and processing.
- Proficiency in Active Campaign, Adobe Software products
(Acrobat Professional, InDesign, Photoshop, Illustrator); Microsoft
Visio, online media.
- Proficiency in using Excel or similar software to present
data.Hybrid part time work schedule between Monday through Friday.
Office space on Marquam Hill. Some travel to South Waterfront and
locations across the state. This position is eligible for a hybrid
work model including some in-office work and some
